Recording Manual Stock Adjustments
A manual stock adjustment lets you correct a material's quantity when the system figure does not match what you physically have. Unlike purchase receipts or production consumption, adjustments are not linked to a specific order — they are direct corrections to your stock count.
When to Use a Manual Adjustment
- After a physical stocktake — you counted the shelves and found a discrepancy between what you have and what CrafterBy shows
- To record waste or spoilage — materials that went bad, expired, or were spilled outside of a production run
- To record damaged goods — materials received damaged that cannot be used, but were not caught at goods-in
- To correct a data entry error — you entered the wrong quantity on a purchase receipt or consumption log
- To bring historical stock into the system — when you first start using CrafterBy and need to set opening stock levels
Steps to Record an Adjustment
- Go to Stock Management > Adjustments.
- Click New Adjustment.
- Select the material to adjust.
- Select the stock location where the adjustment applies.
- Enter the adjustment quantity:
- Positive number to increase stock (e.g., +2.0 to add 2 kg)
- Negative number to reduce stock (e.g., -0.4 to remove 400 g)
- Select a reason from the dropdown: Stocktake Correction, Waste, Damaged, Opening Balance, or Other.
- Optionally add a note with more detail.
- Click Save. The stock level updates immediately and the adjustment is recorded in the audit trail.
Example: Stocktake Correction
After a physical count, you find you have 3.8 kg of beeswax in the workshop. The system shows 4.2 kg.
- Material: Beeswax
- Location: Main Workshop
- Adjustment quantity: -0.4
- Reason: Stocktake Correction
- Note: "Physical count on 14 March. Likely used in unlogged prototyping session."
After saving, the system shows 3.8 kg — matching your physical count.
Example: Recording Waste
A batch of resin mixed incorrectly and has to be discarded — 150 ml wasted outside of any production order.
- Material: UV Resin
- Adjustment quantity: -0.15 (in litres)
- Reason: Waste
- Note: "Incorrect mix ratio. Batch discarded."
Viewing Your Adjustment History
All adjustments are stored in the stock movement audit trail. Go to a material and open the Stock History tab to see every adjustment ever made, with dates, quantities, reasons, and the user who recorded each one.
