Managing and Filtering Contacts

Searching Contacts

Use the search bar at the top of the Contacts list to find a contact by name, email, or phone number. The search is live — results update as you type. Useful when you have a large supplier list and need to find a specific resin or hardware supplier quickly.

Filtering by Type

Use the Type filter to show only Suppliers, only Customers, or contacts marked as Both. This is particularly helpful when:

  • You want to review all your active suppliers before placing seasonal restocking orders
  • You need to export or review your customer list for a marketing effort
  • You are checking which contacts are set as Both and might need their type clarified

Sorting the List

Contacts can be sorted by:

  • Name (A-Z / Z-A) — the default alphabetical view
  • Recent activity — contacts with the most recent order or update appear first, useful for seeing who you have been working with lately
  • Date created — shows newest contacts first

Editing a Contact

  1. Find the contact in the list and click their name.
  2. Click Edit on their profile page.
  3. Update any fields — address, payment terms, phone number, preferred currency.
  4. Click Save.

Changes apply immediately. Updated information will appear on any new orders created for this contact. Existing order records are not retroactively changed.

Archiving a Contact

If you no longer work with a contact — a supplier you have stopped buying from, or a wholesale customer who closed their business — you can archive them.

  • Archived contacts are hidden from the main contacts list and from order creation dropdowns.
  • All historical orders linked to an archived contact remain intact and searchable. Your records are preserved.
  • To archive: open the contact profile, click the menu (three dots or Actions), and select Archive.
  • To view archived contacts, use the filter toggle to include archived records.
  • To restore an archived contact, open their profile and click Unarchive.

Deleting a Contact

You cannot delete a contact that is linked to one or more purchase or sales orders. This is by design: deleting the contact would break the historical record of those transactions. If you want to remove the contact from active use, archive them instead.

Contacts with no linked orders can be deleted permanently from their profile page.

Keeping Your Contact List Clean

  • Use consistent naming — decide whether to use business names or personal names and stick to one convention.
  • Archive rather than delete — preserving history is almost always more valuable than a tidy list.
  • Keep payment terms updated — if a supplier changes from Net 30 to immediate payment, update the record so new POs reflect the correct terms.
