Managing Product Stock

CrafterBy can track how many finished units of each product you have on hand. This is separate from material stock tracking and covers the completed, sellable inventory.

Enabling product stock tracking

  1. Open the product.
  2. Go to the Stock tab (or scroll to the Stock section on the product detail page).
  3. Toggle Enable Stock Tracking to on.
  4. Set the Opening Stock: how many finished units you currently have on hand.
  5. Optionally, set a Minimum Stock Level. When finished goods stock falls below this, a low-stock alert is generated (the same mechanism as material stock alerts).
  6. Click Save.

How stock is decremented: sales orders

When a sales order is created for this product and then marked as shipped (or fulfilled, depending on your workflow), CrafterBy decrements the finished goods stock by the quantity on the order.

If you mark an order as shipped but the product does not have enough stock recorded, CrafterBy will warn you but will allow the operation — stock can go to zero or below, which flags as an alert.

How stock is incremented: production orders

When a production order for this product is marked as completed, CrafterBy increments the finished goods stock by the quantity produced.

This creates the link between your production activity and your sellable inventory: produce a batch, the finished stock goes up; fulfil an order, it goes down.

Manual adjustments

As with material stock, you can record manual stock adjustments for finished goods. This is useful after a stocktake, or when a unit is damaged and written off, or when you are setting up the system and need to enter a current count.

To record a manual adjustment:

  1. Open the product, go to the Stock tab.
  2. Click Record Adjustment.
  3. Enter the adjustment quantity (positive to add, negative to subtract) and a reason.
  4. Save.

Viewing stock levels

The current finished goods stock level is shown on:

  • The product detail page (Stock tab or summary panel)
  • The Products list view, where you can sort and filter by stock level
  • The dashboard, which shows an overview of products below their minimum stock level
