Reports & Analytics Overview
What Reports Are Available
CrafterBy includes four core reports, all accessible from the main navigation under Reports:
- Revenue & Cost Report — total revenue, cost of goods sold, gross profit, and gross margin % for a selected period.
- Margin Trends — your gross margin percentage charted month by month, so you can see whether profitability is improving or eroding over time.
- Top Products — your products ranked by revenue, gross profit, and units sold.
- Category Breakdown — revenue, cost, and margin grouped by product category (e.g. Candles, Jewellery, Gift Sets).
Where to Find Reports
Click Reports in the main navigation. All four reports are listed across the top of the reports section. Every report includes a date range filter — select any start and end date to focus on a specific period (last month, last quarter, year to date, custom range).
Where Report Data Comes From
Reports pull from two sources:
- Completed sales orders — revenue figures come from payments recorded on sales orders that have been marked as complete.
- Production orders — cost of goods sold is calculated from the actual material, labour, and machine costs recorded when production orders complete and add stock.
If a sales order is still open or a production order is still in progress, those figures do not yet appear in reports. This ensures you are looking at real, realised activity rather than estimates.
Three Questions Reports Should Answer
Reports are most useful when you use them to answer specific questions. Use CrafterBy's reports to answer:
- Am I making money? — the Revenue & Cost Report gives you gross margin %. If it is below 40%, most artisans are underpricing relative to their actual costs.
- Which products earn the most? — the Top Products report separates high-revenue products from high-profit products. They are often not the same.
- Has my margin improved since I last changed my prices? — the Margin Trends report shows you whether a price increase had the intended effect, or whether rising costs have already eroded the benefit.
Getting the Most from Reports
Reports are only as good as the data behind them. For accurate results:
- Record all payments on sales orders promptly.
- Complete production orders with actual quantities — do not leave them as "planned" indefinitely.
- Keep your material costs updated when supplier prices change.
- Ensure your labour hourly rate reflects what you actually want to earn.
A quick monthly review of the Revenue & Cost Report and Margin Trends — taking ten minutes — gives you enough visibility to make informed pricing and production decisions throughout the year.
