Viewing Your Inventory

The Inventory view in CrafterBy gives you a real-time snapshot of all materials with stock tracking enabled — current quantities on hand, reserved amounts, available stock, and minimum level alerts.

Accessing the Inventory View

Go to Stock Management > Inventory.

Only materials that have stock tracking enabled appear in this view. If a material is missing, check its settings and ensure "Track stock" is turned on in the material definition.

What Each Column Shows

  • Material — name, category, and unit of measure
  • On Hand — total quantity across all stock locations. This is the physical quantity in your possession.
  • Reserved — quantity committed to active production orders. Still physically present, but not available for new work.
  • Available — on hand minus reserved. This is what you can actually use for new production orders or purchase decisions.
  • Min. Level — your reorder threshold. When Available falls below this level, a warning indicator appears.
  • Status — a quick indicator: In Stock (above minimum), Low Stock (below minimum), Out of Stock (zero on hand).

Viewing Stock by Location

Click the expand arrow on any material row to see its quantity broken down by stock location. Useful when you have stock spread across multiple sites and need to know where to pull from for production.

Filtering the Inventory View

  • By location — show only stock at a specific location
  • By material category — for example, show only waxes, or only fragrances
  • By stock status — filter to show only materials that are low or out of stock, to quickly identify what needs ordering
  • Search by name — find a specific material quickly

The Low Stock Alert

When a material's available quantity falls below its minimum stock level, CrafterBy highlights it in the inventory view and includes it in the low stock summary on the dashboard. The minimum stock level is set on the material definition — you can edit it at any time as your production volumes change.

Example: if you set a minimum of 2.0 kg for soy wax and your available quantity drops to 1.8 kg, the material shows as Low Stock. You know you need to order more before your next production run.

Exporting Inventory

Click Export CSV to download the current inventory as a spreadsheet. The export includes all visible columns plus the location breakdown. Useful for:

  • Sharing stock levels with a supplier when ordering
  • Insurance or accounting records
  • Comparing a physical stocktake against the system figures
